This privacy statement explains how Telarc Training Services (TTS) collects, stores, uses, and shares your personal information.

 

Your Privacy Rights and How to Contact Us

 

The Privacy Act 2020 gives you the right to request access to and correction of the personal information we hold about you. You can take steps to control the ways we use your information such as opting out of newsletter communications or the method(s) used to contact you. You can also send us a formal complaint at any time if you believe we have misused your personal information.  

 

Requesting Access to or Correction of your Information:

 

You have the right to request a copy of the personal information we hold about you (whether we have collected it from you directly or from a third party). You also have the right to ask us to correct your information if you think it is wrong.

 

We will process your request within 20 working days.

Collection of Personal Information

 

Telarc Training Services only collects personal information where it is necessary to perform training activities, such as for student enrolment or completion of course certification.

The personal information that we collect from you include some or all of the following details:

  • Name
  • Contact Information
  • Location
  • Organisation
  • Job Title
  • Course-related work
  • Computer or network
  • Billing or Purchase Information
  • Audio Recording of Training Session
  • Photos

 

Audio Records:

As part of our ongoing commitment to quality improvement and our responsibilities under Exemplar Global certification, we continuously enhance our training standards.  As part of this, IQM Group take audio recordings of all courses for the purposes of evaluation and/or moderation and to provide to Exemplar Global auditors if or when requested. The recordings are not shared with any other third parties and are not used for any other purpose than that described above.

Recordings are stored in a secure OneDrive location that can only be accessed by the Senior Leadership Team. Recordings are retained for up to two years and then securely deleted.

 

Photos:

As an Exemplar Global certified training organisation, IQM Group and/or Telarc Training Services may also take and request photos of participants to add them to certificates. The photos are not shared with any other third parties and are not used for any other purpose than that described above. They are stored in a secure OneDrive location that can only be accessed by the Senior Leadership Team. Photos are retained for up to two years and then securely deleted.

 

Other Personal Information:

We collect other personal information mentioned above to manage the training courses and improve our training services. This information can only be accessed by:

  1. IQM Group’s Senior Management Team and
  2. Telarc Training Services’ training services team and Senior Management

 

Registering Others:

If you are registering on behalf of another person(s), you confirm that you have informed them that we will collect and use their personal information stated above, for the above purposes.

 

Please contact us through the above methods should you have any questions or concerns regarding any of these processes.

 

Personal information will be collected directly through our users and/or third-party services.

 

Storage and Retention:

We use secure, verified third-party providers to store and process our data.

We store most of the personal information we collect and generate electronically on Microsoft Azure cloud servers. We also use Microsoft Office 365 for our email communications and other office productivity applications. This means that the personal information we hold may be transferred to, or accessed from, countries other than New Zealand.

We also work in collaboration with IQM Group for the management and conduct of our courses and share only the information that is necessary for the completion and management of the course.

We retain personal information in compliance with the requirements of the Public Records Act 2005.

 

Security:

We take all reasonable steps to ensure the personal information we collect is protected against loss, unauthorised access and disclosure, or any other misuse, including meeting the requirements prescribed by the New Zealand government for the secure handling, storage, and disposal of any protectively marked or security classified information. Telarc Training Services security policies are documented within the Telarc Information Security Policy (Clause 5.20) and employees regularly undergo training on privacy and security practices.

We ensure that our third-party processors can meet our privacy and security requirements.

 

Disclosure of Personal Information:

 

Telarc Training Services will only disclose personal information for which it was originally collected or obtained. Sometimes, other reasons for disclosure are allowed, such as for the following reasons:

  • The person concerned authorises the disclosure
  • The information is to be used in a way that does not identify the person concerned
  • Disclosure is necessary to avoid endangering someone’s health or safety
  • Disclosure is necessary to enforce or uphold the law such as in the conduct of proceedings before any court or tribunal.

If personal information needs to be disclosed, we will ask the person for permission first, unless required by New Zealand law.

By registering for our Telarc Training Services course, you and the participant of the training course are required to read and agree to our Privacy Policy. This policy may be updated or changed at any time and will be reflected on our website HERE.
